Role Overview:

The General Organisational Lead is responsible for overseeing all aspects of JubyLee Bakes CIO, a dynamic charity working with adults with learning disabilities in baking and catering. This pivotal role requires a passionate, versatile individual who can effectively manage daily operations, support the team, and drive the organisation's growth and impact. We are ideally looking for someone who will be committed to creating an inclusive and empowering environment for individuals with learning disabilities while ensuring the sustainable growth of the organisation.

Skills

  • Proven experience in management, preferably in a charitable or social enterprise setting

  • Comprehensive knowledge of food safety and hygiene regulations
  • Proficiency in basic financial management and reporting, with the ability to analyse data.

Practical Considerations

Key Responsibilities:

  1. Baking Sessions Management:
    • Meticulously prepare for and manage individual baking sessions taking into account abilities of individual bakers and requirements of commercial customers
    • Ensure thorough cleaning of kitchen facilities, including ovens, dishwasher, and toilets
    • Efficiently manage ingredient inventory for planned bakes and catering events
    • Strictly enforce hygiene, food safety, and regulatory compliance; liaise with HDC Environmental Health as needed
    • Oversee bake wrapping, freezing, and batch labelling processes
    • Ensure timely completion of portfolios and timesheets
    • Design and deliver engaging training modules
    • Maintain kitchen linens to high standards of cleanliness

 

  1. Kitchen Administration:
    • Strategically manage stock of bakes and food to meet customer and event requirements
    • Meticulously oversee inventory of ingredients, packaging, and cleaning supplies
    • Efficiently coordinate purchases, both online and in-person, ensuring cost-effectiveness
    • Prepare detailed monthly sales reports for accurate invoicing
    • Proactively manage kitchen equipment maintenance and testing schedules
    • Implement and monitor effective pest control measures

 

  1. Sales and Events Management:
    • Serve as the primary contact for event organisers, ensuring clear communication
    • Ensure all required documentation is in place and up to date (risk assessments, certifications, etc.)
    • Skilfully coordinate event logistics, including setup and breakdown and coordination of JLB team. May sometimes require erection of gazebo
    • Ensure all items used are cleaned and properly stored after events
    • Develop and implement innovative marketing strategies to attract new customers
    • Maintain strong relationships with existing customers, addressing their requirements and managing deliveries
    • Oversee/perform bake finishing, packaging, and labelling processes to ensure consistent high quality
    • Efficiently coordinate bake pickups and kitchen visitors, ensuring a positive experience

 

  1. People Management:
    • Act as the welcoming point of contact for potential new joiners
    • Thoughtfully organise baking sessions around bakers' schedules and support availability
    • Liaise effectively with supported living staff to ensure seamless coordination
    • Manage team communications via various channels, ensuring clarity and inclusivity
    • Write comprehensive progress reports for YPS when requested
    • Coordinate uniform orders for new recruits, maintaining a professional appearance
    • Foster a positive, supportive team environment that encourages growth and development

 

  1. Funding and Grant Management:
    • Proactively identify potential funding sources aligned with the organisation's mission
    • Write compelling and well-researched funding bids
    • Prepare thorough follow-up reports for funders, demonstrating impact and accountability

 

  1. Community Engagement and Marketing:
    • Organise engaging social events and outings for young people, support team , and associates
    • Regularly update website content (excluding major revamps) to keep information current
    • Document sessions and events through high-quality photography
    • Create and share engaging content for social media platforms to increase visibility
    • Research and propose new packaging options and develop innovative bake recipes together with wider team

 

  1. Administrative Duties:
    • Write comprehensive reports for Trustees' Meetings, providing clear insights into operations
    • Efficiently manage transportation logistics for ingredients and products
    • Thoughtfully coordinate Christmas gifts and certificates for the team, recognising their contributions

 

  1. Collaboration with Key Team Members:
    • Work closely with the on-site lead Kitchen Manager on developing and refining training modules and recipe management
    • Liaise effectively with the Treasurer on financial matters, event support, and documentation
    • Support and collaborate with other kitchen leaders to ensure consistent quality and practices
